Dear Organisers, I hope this email finds you well. I am writing to you because an unfortunate situation has arisen. Sadly, my father-in-law passed away earlier this morning. Due to this, I will not be able to attend the conference as I need to fly to Turkey immediately and stay there for a few days for the funeral. Upon my return to London, I need to stay next to my wife to alleviate her grief at this difficult time. Even though I was eagerly looking forward to presenting my paper at the conference, due to this unforeseen family tragedy, my presence at the conference has become impossible. Given the situation, I am kindly requesting a refund of my conference registration fee. I understand that there might be certain terms and conditions related to refunds, but I sincerely hope you can make an exception in this case, considering the unfortunate circumstances that have arisen. Please accept my sincere apologies for any inconvenience that my request may cause. Thank you for your understanding and prompt attention to my request. Dear Thanos I am sorry to hear about your father-in-law. My sincere condolances! We have cancelled your registration and refunded you 50% of the fee, as per the Terms and Conditions listed on the conference website. I am sorry that we cannot refund the full amount, but at this late time, we have incurred costs towards your registration (food, venue rentals, printed material, and so on) that we are not able to recoup. We are a non-profit organization and there is no way for us to cover any deficit on the conference budget. My best wishes to you and your familiy.
